Virtual Receptionist

Description:

A Virtual Receptionist is an automated attendant system that lets users direct callers with the press of a button (0-9, # and *), setup and record custom greetings or use the Text to Speech function to type out a greeting.

This article will show you how to do the following:

  • Setup a Virtual Receptionist/Auto Attendant

Note: The Virtual Receptionist can be setup to support different options depending on business hours. If no Office Hours Strategy/Office Holidays have been set, the same options will be presented 24 hours a day.

Methods:

  1. Login to the Audian Portal.
  2. Click the 9 square button at the top right of the screen.
  3. Click on the Smart PBX app.
  4. Click on Main Number on the left.
  5. Click on Incoming Call Handling.
  6. Click on the Virtual Receptionist link located in the selected box.

  7. Select the preferred type of greeting to be used.
    • Text to Speech: This option allows users to type out their voicemail greeting and have it translated into and audio file.
    • Upload your own Files: This option allows users to upload their own .wav or .mp3 files to be used.
      • Note: There is an 8MB maximum file size limit.
    • Record it from the Browser: This option allows users to record a greeting from their computer using the microphone attached to the computer.
      • Note: This option is only available in the Chrome browser.
    • Choose from Existing Media Files: This option allows you to select from a list of files that are already saved on the system.
    • Record it over the Phone: This option gives steps to record the voicemail greeting over any phone.

  8. Click Add route to add options to the Virtual Receptionist.
  9. Click the Press drop-down to select a numerical option, then click the for drop-down to select the result of pressing that number.

  10. Click Add route again and repeat the process for each option or user.
  11. Click the Save button.
